AI is already in your organisation.
The question is not whether your team is using it.
The question is whether you have control over how they are using it.
In this episode, I share my weekly digital download from Good Morning Dublin, where I discussed why every organisation now needs a clear AI policy.
Whether you have one or not, your staff are already using AI.
The Reality: AI Is Already in Use
Most organisations are still figuring out AI.
Only a small percentage have formal policies in place.
But hereโs what we know.
Up to two-thirds of employees are using AI tools that are not officially approved by their organisation. This is what we call shadow AI.
Itโs not about blaming staff. It shows curiosity and a willingness to innovate. But without structure, it also creates risk.
What Is an AI Policy?
Think about the policies you already have, like internet usage, annual leave, and data protection.
An AI policy is simply the next step.
It sets clear rules for how AI can be used, where it can be used, and what is not allowed. It gives your team confidence and protects your organisation.
Why You Need One Now
AI is moving faster than internal processes can keep up.
Without a policy, staff may use unapproved tools, sensitive data could be shared, and decisions could be made without proper oversight.
With a policy, you create guardrails, reduce risk, and support responsible innovation.
This is not about restricting AI. It is about using it properly.
One Size Does Not Fit All
Every organisation is different.
An AI policy in healthcare will not look like one in retail because the level of risk is different.
In sectors like HR, finance, healthcare, and education, AI decisions can directly impact peopleโs lives. That means stricter controls are needed.
This is also reflected in the EU AI Act, which takes a risk-based approach. The higher the risk, the higher the responsibility.
What Should an AI Policy Include?
If you are starting from scratch, focus on a few key areas.
Start with the purpose of the policy and what it covers. Include clear definitions of AI and generative AI. Set guiding principles such as fairness, transparency, safety, and legal compliance.
Then outline acceptable use, such as drafting content, brainstorming ideas, or analysing data, alongside prohibited use like sharing sensitive data or fully automating high-risk decisions.
Finally, address data protection and clearly state which tools are approved.
Keep Humans in the Loop
This is critical.
AI should never operate without human oversight, especially in areas like recruitment, financial decisions, and healthcare.
AI can support decision-making, but humans must remain accountable.
Your Policy Should Be a Living Document
AI is constantly evolving.
Your policy should be reviewed regularly, updated as tools change, and adapted as your organisation learns. A quarterly review is a good starting point.
Assign an AI Champion
Someone needs to own this.
An AI policy without ownership will not work. An AI champion should oversee the policy, stay informed on developments, support staff, and ensure compliance.
Start with a Sandbox
Before enforcing strict rules, allow your team to explore.
Create a safe space where employees can test AI tools, develop use cases, and learn what works. This helps you build a practical and informed policy.
Build AI Literacy First
AI can feel overwhelming.
Start with the basics. Help your team understand what AI is, how it works, and what it can do. This builds confidence and reduces fear.
Set Clear Boundaries
Some uses of AI should be clearly off-limits.
For example, cloning voices, creating digital replicas, or making final hiring decisions.
These are your red lines, and your team should help define them.
My Take
AI is already in your workplace.
So you have a choice.
Ignore it and let it grow unchecked, or manage it with clear and responsible guidelines.
An AI policy is not about restriction. It is about enabling your team to use AI safely, confidently, and effectively.
That is how you turn AI from a risk into an opportunity.
